Manager - Work & Resource Coordinator

Position Summary:

ESS is looking for a Manager – Work & Resource Coordinator who is motivated, organized, and eager to learn and grow within our company! Individual is responsible for developing and coordinating project schedules, monitoring project progress, and ensuring that projects are completed according to schedule and specifications. This is a salaried Full-Time position (Mon-Fri) with some projects taking place during off hours and weekends.

Essential Duties & Responsibilities

  • Reporting to the President, Electrical Services & Operations, the Manager – Work & Resource Coordinator will be responsible for supporting and coordinating the daily business operations across all business groups to deploy resources on projects.

  • Coordinate and provide resources with a focus on safety, timeliness, efficiency, and client needs.

  • Prepare and coordinate project schedules, resources, equipment, and information.

  • Collaborate closely with a variety of stakeholders, both internal and external, on all aspects of projects.

  • Prepare comprehensive action plans, including resources, timeframes, and budgets for projects.

  • Prepare appropriate paperwork (e.g. contracts, warranties, etc.) as directed.

  • Under minimal direction, formulate and define scope and objectives based on both user needs and a good understanding of information technology, business processes, and industry requirements.

  • Act as a liaison between client and support groups, using advanced communication skills to elicit, document, analyze and validate client requirements.

  • Document significant events and changes to projects and complete change orders as directed.

  • Monitor project progress and resolve basic issues that arise, notifying leadership of more complex issues.

  • Regularly communicate with contractors, customers, and staff to provide updates, clarify details, and resolve issues.

  • Submit and track orders for job materials.

  • Ensure clients’ needs are met as projects evolve.

  • Participate in quality control during project progress.

  • Develop and maintain internal and external relationships to support management of scope and expectations.

  • Operates as a team member and as a team leader. Advise on methods to improve business processes.

  • Document and deliver resulting process improvements.

  • Work closely with the staff to ensure supplies maintain proper inventory levels.

  • Perform all other assigned tasks and requirements as needed.

Minimum Qualifications & Requirements

  • Minimum 2 years of project coordination preferably in the electrical industry.

  • High degree of personal/professional integrity, respect for privacy and confidentiality.

  • Good communication skills.

  • Strong customer service skills.

  • Strong organizational and time management skills.

  • Ability to read and understand specifications and electrical drawings.

  • Good time management and work prioritization skills with the ability to coordinate multiple projects at the same time.

  • Ability to maintain general job costs and project budgets.

  • Strong working knowledge of computers and Microsoft Office Suite.

  • Ability to frequently read, comprehend, write, perform basic mathematic calculations, communicate orally, and reason and analyze.

  • Improves staff competence by researching and providing educational resources.

  • Additional training/education, as well as business need, are available.

Desired Qualifications

  • Demonstrates an in-depth understanding of key Services’ operational policies, processes and methodologies applicable to project management.

  • Extensive knowledge of building construction, materials, means and methods, scheduling, project accounting and cost control procedures, general contract structure, general conditions, subcontract documents, construction drawings and specifications.

  • Confidence in navigating and understanding prime contracts.

  • Ability to work and collaborate successfully with persons, programs, organizations, and agencies.

  • Ability to interpret and explain complex policies and procedures.

  • Ability to maintain a high level of communication skills and work well with a diverse group of people.

  • Must be able to work independently, make decisions and problem solve.

  • Able to effectively present information and respond to questions from various groups.

  • Basic knowledge of project management principles, practices, techniques, and tools.

  • Knowledge of commercial electrical principles, documents, techniques, and procedures.
